FAQs
Excel, Word and PowerPoint FAQs
Some users won't have these updated.
This will affect you if you use any other systems that require an earlier version of the applications to work.
For example, some users in Finance and all fleet users will not receive updates as they need earlier versions of Excel or Access to link to other applications.
Also, onboard users won't receive the updates initially due to the need to connect to Access databases and other applications.
Yes, they'll all load fine!
The new versions of Excel, Word and PowerPoint contain some new functions to make your work easier. Some of these weren't available in older versions of the apps.
The guide on the right hand side of this page 'Backward Compatibility' shows how to run a compatibility check and identify features or information that might not be available in an earlier version/s. You can also resolve some of those issues before you share your files and documents.
The new versions of Excel, Word and PowerPoint support co-authoring and collaborating on documents.
However, these rely on OneDrive and Teams to work effectively; so you'll get access to do this once these are installed.
Outlook FAQs
There will be no changes to SMTP addresses for email users as part of this project.
Users will operate both Notes and Outlook at the same time. Outlook for the migrated mail and Notes for Archive and any Mailing databases not yet migrated. We will revoke the ability to send and receive emails in Lotus Notes once we have migrated to Outlook.
The Sametime chat functionality of Lotus Notes Email will be retired. You can start using the Teams application for your one-to-one and group chat needs. Chat history from Lotus Notes Email will be available in the Outlook conversation histor
Yes, these will be loaded into Outlook.
All databases will remain in place and will be accessed as they are today. No change.
Yes, all of your contacts and distribution lists currently in Lotus Notes will be migrated to Outlook.
You will need to manage any distribution lists you own from Outlook. Any changes to distribution list that you make on Lotus notes post the migration will not be synced to Outlook
Archive in Lotus Notes will not be migrated to Outlook. You can access your archives using the Lotus Notes client. Archives mails will be migrated in a mop up exercise as part of phase 1.
Email rules will not be migrated. Users will need to re-create their rules.
The size limit is remaining at the same level as it is now. You will be able to share files with a limit of 15MB for each email. For larger files we recommend using OneDrive. Using OneDrive, you can directly share the files, or you can share the links in your emails.

Yes, one of the benefits of moving to Office 365 is to enable collaboration.
A team is a collection of people, content, and tools that work together to produce a business outcome for your company. So for example your reporting team or a smaller team focusing on a project or shared objective.
Yes, the limit is 25,000.
Yes, this is a channel, you can have an overall team at the high level and then have channels within that team.
This remains the same as current functionality, only if you have been given access to see full details, everyone will be able to see availability in anyone's calendar, i.e. busy or free.

If working online you can have multiple people (10+) working on the same document. However, this does not apply to using the same cell in Excel
The newly added person can only see the content of the chat from the point that they are added in.
Yes, anyone can join a teams meeting by using a web browser, when they click to join your meeting invite they will have the option to join via a web browser version of Teams.
Yes, you are able to grant 'Guest' access to a third party or external vendor.
OneDrive FAQs
The Common drive will be available to you as it is now. Shore users will get an additional option of OneDrive for file storage, sharing and collaboration needs. (One drive will not be accessible by the fleet)

If you share the link with external people and grant access to them, they will be able to access.
No, but when you access that document you will know who has last edited it. However, OneDrive gives you the flexibility to set up your own rules if you want to, including setting up email notifications on files that they want to actively track.
There is not a cap on the size of a document that you are able to create, however the limit to send via email is 15mb.

The same way as you do now - you would save it to an area that only restricted people can see it. Data classifications are not part of this phase. If you save to your One Drive this is secure unless you give someone access to it.
Documents will save to wherever you last saved the document. If the last place you saved a document was on One Drive it will then save it in to One Drive, if the last place you saved the document was to desktop then it will save to your desktop. If you are using the on line version of Word or Excel it will default to save to your One Drive.
