What’s been happening this week?

Onboard Ship:  

  •  Aurora has successfully migrated to Outlook
  • Next week we will migrate Arcadia, QV, Azura & QM2.  (We are in contact with the ships as we migrate)

Shoreside: 

  • Mumbai has successfully migrated to Outlook.
  • The majority of Carnival UK shoreside users have now migrated to Outlook.   
  • On Monday 8 November we will migrate the remaining shoreside users to Outlook – this will include 10 Hamburg users.

Action Points

Shoreside Change Champions:  If you are aware of anyone who has not migrated to Outlook please email O365@carnivalukgroup.com immediately to let us know.

Fleet Change Champions – please encourage crew who have a Windows account to attend the training for Outlook.  All training dates are shared with all ships weekly, (direct by email) we have a concern that crew may not think they are authorised to attend the training.  Please can you do what you can to promote crew attending the training offered?  SMT are attending – it’s the crew that don’t seem to be taking up the training opportunity.  We have also asked the SMT to promote the training onboard with Crew.

Shoreside & Fleet Change Champions

1) Please ensure your teams are aware of the need to Prepare to migrate to Outlook.  Due to the fast roll out – the more people can do to prepare themselves up front the better.  As our Technology team prepares to start the move from Lotus Notes to Outlook, there are some actions you’ll need to complete before you’re moved across. These include tasks such as understanding your current mail rules, saving any stationery templates you may have and synching your contacts. To find out what this means for you please read the preparing to migrate to Outlook document available on our Microsoft Office 365 Homepage. 

2) Please ensure your teams are aware of the need to do some tasks Post MigrationFind out what you and your teams need to know about post migration here.

3) Share with your Teams that all training dates for Outlook & Teams can be found on the Microsoft 365 Training Page   Please encourage your teams to attend the training whilst it is available. There is no need to sign up, anyone can just add the session that suits them to their diary and join via the link below.  (The link will also be advertised each week in the Weekly Update.)

Where we have migrated from Lotus Notes to Outlook, we have been made aware of an issue with email integration within spreadsheets. (This is where spreadsheets either send or start to compose emails)

This will enable us to understand the scope of the problem and work out any next steps required.

General updates & Useful things to know

Shared Mailboxes:  The Project Team will be starting an exercise next week to gather information regarding shared mailboxes, and which ones are still in use and people need to continue to retain access to.  Comms will be sent out to all users as well as shared mailbox addresses early next week.  Please encourage your teams to take the action requested when these emails are sent out.  (If people do not make claim to a shared email box and inform us they still need it by completing the form we will send out – the mail box will not be migrated to Outlook.)

Teams:  It is expected that Teams will be fully live in the next few weeks for shoreside users and the SMT across the fleet.  In essence this means that Teams will be connected to your calendar so you can instantly create a meeting and insert a link to Teams.  More comms to follow as this becomes available.

Microsoft Office Homepage on The INSIDER: – Remember we now have a Microsoft Office 365 homepage on The INSIDER to keep everyone updated with all things O365.  

Training Material:   All training materials including videos, quick start guides, detailed guides and support are available  at this link. Please have a look at the training materials to familiarise yourself, and encourage your teams to do this too.  Spread the word!
