What is the “ECM project”?
As you may remember, at the end of last year we completed phase one of a review of our document management system, which most people know as Docova. This review is wider than just what Docova does today, hence the name Enterprise Content Management (ECM): in short, a document management system but with greater functionality and supporting more of our business processes.
With the help of a specialised external IT consultant, we are looking at how to make our interactions with key stakeholders more efficient. For this, we need to gather everyone’s feedback to help shape our future collaboration and system access.
Progress to date
We have now started phase two where, through engaging with stakeholders in a number of workshops and telephone calls, we have:
- Held eight cross-functional workshops as part of the capabilities gathering activity, with Corporate
- Shipbuilding employees, CUK and HAG representatives.
- Put in place a governance process to support this project.
- Engaged with our internal IT stakeholders.
Begun to develop a detailed set of requirements for our ECM project.
What’s next?
- Further requirements gathering workshops are planned in February both with Corporate Shipbuilding and brand representatives from each operating company.
- A complete document that captures our proposed solution model is being developed. This will be used as part of our tender activity.
- Development of use cases to help prospective suppliers prepare demos. System demos by prospective suppliers, your input at these will be valuable.
- We will continue to communicate with you each month as we progress with this project to ensure we get the right contribution to this key enabling project for those involved in the shipbuilding process.
