Shore side Collective Consultation Elected Representatives Brief

The purpose of Elected Representatives is to form a group which allows a channel of communication with colleagues. The topic for discussion is the impact that COVID-19 has had on the business and proposed changes to rewards and benefits that the business would like to implement.  The proposed changes impact on a population of 40 CUK shored based colleagues. We want everyone to be fully aware of the proposed changes and to have the opportunity to have their views listened to via this two-way communication forum.

Your role

Your role as an Elected Employee Representative is to represent a group of colleagues and to take an active part in collective consultation meetings with the organisation by:

  • Discussing the consultation process;
  • Representing the employees’ views, and collecting their questions for the consultation meetings;
  • Reporting back to the employees on the outcome of the collective consultation meetings with the organisation;
  • Discussing what support and assistance affected employees require.

Due to the current working from home practices, we are not able to hold these meetings in person, we will therefore make arrangements for these to be conducted via Zoom.

You should seek opinions from the group you are representing ahead of each meeting. Following the meeting, you should share the information you have gathered with your group.

Elected representatives may receive personal data about employees, all of which must be dealt with in accordance with our data protection policy. Inappropriate access or disclosure of employee data may constitute a disciplinary offence, which will be dealt with under our disciplinary procedure.

Training

Appropriate training will be provided to the elected employee representatives in relation to their duties and responsibilities. Training for these representatives will take place on 14 August 2020

Meetings

  • 18 August 2020 – 1st consultation meeting with Employee Representatives
  • w/c 24 August 2020 TBC –  2nd consultation meeting with Employee Representatives
  • w/c 7 September 2020 TBC –  3rd consultation meeting with Employee Representatives

Additional dates can be added if required.

Other key dates

  • The nomination of Employee Representatives will take place 29 July to 5 August 2020
  • The voting process for electing Representatives if necessary will take place 7 August to 10 August 2020
  • Employee Representatives will be announced 12 August 2020

Communications

  • Following each consultation meeting, a Key Messages document will be distributed to all Employee Representatives for onward cascade by you to your group.
  • You will be provided with the details of other Employee Representatives to allow you to work together.
  • Employees will be made aware of who is their Elected Employee Representative and will be encouraged to get involved in the consultation and will be provided with your contact details to enable them to pass on their views.
  • A ‘Frequently Asked Questions’ document will be available on The Insider and will be regularly updated.
