Update correct at 22 September 2020

Please find below the key updates/changes from the previous communication issued on 10 September 2020:

  • UK:
    • Carnival House: As was mentioned at last week’s town hall, with the exception of a small number of individuals who have been identified with a critical need to return to Carnival House, the majority of us are unlikely to be routinely working from Carnival House before the New Year.
    • Collaboration spaces: In addition to the small number of individuals referenced above, Carnival UK has created five bookable collaboration spaces, available immediately, in Carnival House to address an identified need for groups of people to be together, in person, to collaborate effectively for one off/adhoc activities. Click here to find out how to book a space. We urge you to use these spaces by exception only, and once all other options have been explored and you feel that this is the only way to achieve the desired outcome for the activity.
    • COVID-19 testing for travel purposes (UK based colleagues only) In the event that you are travelling and are required to provide evidence of a negative COVID-19 test result, this can be arranged by contacting covidtesting@carnivalukgroup.com and they will refer you to their nominated supplier. Please ensure that you provide the following details in your email request, your:
      • Full name and date of birth
      • Country and city of residence
      • Preferred contact details
      • Departure datePlease note a minimum of 7 days’ notice is required.
  • UPDATED: Reducing the risk of virus transmission during business-related travel: In addition to the travel requirements that we shared in our previous update regarding travelling by taxi/hire car, we have now decided to extend the requirements to travel as a whole (not just limited to taxi/hire car use), please note the following:
    • A maximum of two Carnival employees (irrespective of brand/OpCo/department) should travel together and utilise the same transportation (be that plane, taxi, hire car etc.).
    • In the event that your travel is to take place alongside a Carnival colleague, it is your responsibility to consider the purpose of your travel and the potential impact of travelling together. If it is to attend the same meeting/activity etc. and whilst travelling you are jointly exposed to COVID-19 which then requires a period of quarantine for you both, could the original activity still be fulfilled? If the answer is no, then you need to consider travelling separately.
    • In the event that you need to travel in a greater number than two people, please speak with your Leadership Team member for further consideration.
    • Whilst in transit, you should stay separate from other people including representatives from brands, OpCos, shipyards as well as fellow Corporate Shipbuilding colleagues.
    • Should you feel uncomfortable/at greater risk of infection as a result of your travel/transportation arrangements, you are able to request or arrange alternative transport e.g. if asked to share taxi to the yard with members from another party.
    • If this means some additional cost is to be incurred then this is acceptable to maintain your wellbeing.

Contingency planning
With effect from last week, a Corporate Shipbuilding COVID-19 Working Group has been set up to ensure that we can be as efficient and effective in our response to the changing situation related to Coronavirus. The following people are part of the COVID-19 Working Group: Jon McKeown, Mel Salmon, Martin Vos, Alex Tunstall, Olly Harris, Fabrizio Timossi, Juha Sinkkonen, Toni Turner and Lynsey Powell.

To ensure business continuity, each VP together with their Leadership Team member/members and the COVID-19 Working Group have been working to understand where they have critical resource and the best approach to protecting that resource, i.e. splitting teams, working from home etc.

As such, with effect from today (Tuesday 10 March 2020), a number of individuals based in Carnival House have been identified, for a variety of reasons, to work from home until further notice. This list will be reviewed on a weekly basis.

We’re taking these measures to protect our people and our business as much as possible. Please be mindful of your own personal interactions outside of the office and the impact they could have on the business and your colleagues.

New travel approval process/form
With immediate effect, all corporate travel must be discussed and approved by a member of the Leadership Team.

As a reminder, please note that the following people make up the Leadership Team:

  • Asset Management – Craig Sturgess

As part of this process, the Carnival UK form (click here to download) must be completed and signed by both the traveller and  either a Leadership Team or Exec Team member (as appropriate) and sent to ccs.travel@carnivalshipbuilding.com together with the updated Corporate Shipbuilding travel requisition form (click here to download).

Please ensure that you download and save any forms locally before inputting your information.

Personal travel plans
Please keep yourself up to date with any restrictions/guidance in place for locations that you are planning to travel to on a personal basis as well as the restrictions/guidance in place within your home/base location. Please be considerate of the fact that any plans that you make may affect your ability to work where needed as well as undertake tasks required of your role.

In parallel a full decontamination of the areas where any of this group of persons were working has been completed.

Travelling to Meyer shipyards in Germany and Finland
Meyer have introduced a requirement that everyone within our site offices in their shipyards must complete a health questionnaire by the end of this week (28 February). The questionnaire will ask the individual’s health condition and for his/her travel for the past 14 days. If any responses include symptoms of Coronavirus and/or travel in areas listed in paragraphs 3 and 5 of this Guidance, the individual will not be granted access. Any future new joiners or visitors will also have to complete the same questionnaire in advance of their arrival.

Please note that Meyer has, with effect from Monday 2 March 2020, categorised the whole of mainland Italy as a high risk area. They have updated their health questionnaires accordingly, revised forms attached to the latest email communication.

Travelling to Fincantieri shipyards in Italy

Personal precautions
As with all respiratory illnesses, particularly during cold and flu season, you can reduce your risk of illness by following these precautions:

  • Wash your hands often with soap and water for 20 seconds.
  • Where soap and water are not available, use an alcohol-based hand sanitizer.
  • Avoid close contact with people suffering from cold or flu like symptoms.
  • Avoiding shaking hands when greeting those onshore in the affected region and surrounding areas.
  • Cover your nose and mouth with a tissue when you cough or sneeze, or use a flexed elbow.
  • Avoid unprotected contact with live wild or farm animals.
  • Avoid touching your eyes, nose and mouth with unwashed hands.
  • Get vaccinated against seasonal influenza.

Guidance regarding minor symptoms
In the event that you start to feel even minor signs of respiratory tract infections or a fever, you should self-isolate for seven days and let your line manager know. During that time you should monitor your symptoms carefully and if they change at all and you suspect you may have Coronavirus, please adhere to point 6 of the Guidance above.

Health concerns
If you, or your immediate family members, have underlying health issues and have associated concerns with your working location, please speak with your line manager.

Visitors
With immediate effect, we have taken the decision to implement a no third party visitor policy to Carnival House to reduce the impact of face to face contact. As such, please cancel any planned third party visitors and rearrange to a conference call or Webex where appropriate.

Please cancel any planned visitors to any of our offices in Italy, Germany or Finland without first confirming that your visitors have not travelled to any of the areas / locations listed in and otherwise comply with the Guidance. Please remember that access to Meyer shipyards’ premises in Papenburg, Turku and Warnemunde is now subject to 14 days clearance.

Laptops
As the situation is changing at quite a pace, please ensure that you take your laptops and chargers home with you at the end of each working day.

Please make sure that you test your RSA (for OneIT users) or VPN (for other users) connectivity when out of the office to ensure they work and could facilitate you working from home should this be required. Please contact your IT Department and inform your direct line manager if your RSA/VPN does not work

Working remotely
In case you are unable to attend your place of work, whilst we appreciate that some roles are limited in what they can do remotely, please take this as an opportunity to bring your eLearning up to date, clear down your emails and do some general ‘admin’. As the situation evolves, we may reach out to you to work on specific tasks so please remain in contact with your line manager accordingly.

Additional communications tools
With an increased number of people working from home / remotely over the coming weeks, there are a number of communications tools that can be used to help everyone stay connected to their teams and the business as a whole.

The majority of people have company iPhones so please use FaceTime and Whatsapp video calling and messaging to keep in touch. For those in the UK there is Sametime messaging on Lotus Notes and for our other locations there is Skype for both video calling and instant messaging.

We’re looking at increasing the number of corporate Webex accounts that we have but in the meantime you can sign up for your own personal account, for free, which enables you to meet with up 100 participants. The main difference to the paid option is the audio for the meeting must be through your computer, there is no telephone dial in option.

Use of social media / public opinion
Please ensure that you follow the key principles below when interacting online:

  • If you explicitly identify yourself as a Carnival Corporate Shipbuilding employee, you must clarify that the opinions you express are your own.
  • Before interacting, understand the rules, the beliefs and the desires of the online communities with which you want to communicate.
  • Never reveal confidential information (earnings, future plans, information pertaining to the Corporation or Corporate Shipbuilding), even if it is only your personal opinion, and independently of the fact that you are identified as an employee of the Company.
  • Report critical issues via the Corporate Shipbuilding communications email mailbox and avoid responding.
  • Respect our audience and our colleagues. We have to remember that Carnival is a global organisation whose employees and clients reflect a diverse set of customs, values and points of view. Let’s not be afraid to be ourselves, but let’s do it respectfully. This includes not only the obvious (no ethnic slurs, personal insults, obscenity, etc.) but also proper consideration of privacy.
  • Media contact – please refer all media enquiries to Lynsey Powell, Communications Manager for Corporate Shipbuilding.
