Electing Employee Representatives

This article provides you with all of the information that you need to determine whether you would like to nominate yourself or a colleague as an Employee Representative and the ballot process, if required.

The role of an Elected Employee Representative
The role of an Elected Employee Representative is to represent a group of colleagues and to take an active part in collective consultation meetings by:

  • Discussing the consultation process;
  • Representing the employees’ views, and collecting their questions for the consultation meetings;
  • Reporting back to the employees on the outcome of the collective consultation meetings with the organisation.
  • Review and agree the basis of selection criteria;
  • Exploring ways in which redundancies could be avoided or reduced;
  • Discussing what support and assistance affected employees require and what the elements of any redundancy package should be.

An Elected Employee Representative should seek opinions from the people they are representing ahead of each meeting.

Due to the current working from home practices, we are not able to hold these meetings in person, we will therefore make arrangements for these to be conducted via Zoom.

Following the end of each collective consultation meeting, the Elected Employee Representatives should share the information they have gathered with other employees.

Behaviours
An Elected Employee Representative should be:

  • Pro-active and cascade information
  • Able to gather the views of other employees
  • Clear in communication to employees and during meetings
  • Able to present information clearly
  • Objective and prepared to consider solutions from all angles
  • Able to work collectively with the employees they are representing
  • Confidential

Elected representatives may receive personal data about employees, all of which must be dealt with in accordance with our data protection policy. Inappropriate access or disclosure of employee data may constitute a disciplinary offence, which will be dealt with under our disciplinary procedure.

Training
Appropriate training will be provided to the Elected Employee Representatives by Carnival UK’s Employee Relations Department. Training is planned for Friday 5 June 2020, exact timing will be confirmed once Employee Representatives have been elected.

Meetings
The following consultation meetings are currently planned and as we move through the consultation process, additional meetings may be added:

8 June – 1st formal consultation meeting (Time TBC)
w/c 15 June – 2nd formal consultation meeting (Date/Time TBC)
w/c 29 June – 3rd formal consultation meeting (Date/Time TBC)
w/c 13 July – 4th formal consultation meeting (as required) (Date/Time TBC)

Communications

  • Creation of dedicated email address for Employee Representatives
  • Following each consultation meeting, a Key Messages document will be distributed to all Employee Representatives for onward cascade by you to your group.
  • Employees will be made aware of who is their Elected Employee Representative and will be encouraged to get involved in the consultation
  • Frequently Asked Questions will be added / updated on The Insider

How to nominate yourself or a colleague
If you would like to be considered, or nominate a colleague to be considered for the role of Employee Representative, please send an email to Lucy Davis, Senior HR Advisor (lucy.davis@carnivalshipbuilding.com) with your name and department.

If you are nominating a colleague we recommend that you speak to them first before submitting the nomination to ensure they are happy to take on the role if successful. Please make it clear in your nomination that you are nominating someone else.

Please note that Employee Representative training will take place on 5 June, so please ensure you are available on this date. Exact timing will be advised to those successful Employee Representatives.

All nominations must be submitted by 8pm (UK time) on Monday 1 June 2020.

Ballot process
In the event that we receive more nominations than we need for the collective consultation we will run an anonymous ballot between 2 – 4 June 2020. The voting will close at 3pm on 4 June and we will announce the successful Employee Representatives shortly after.
