As of today (Monday 2 November 2020) the new Time and Attendance system is now live and should be used for you to record your daily working hours and also submit any type of leave you may have, both of which are then approved by your line manager. This is to ensure we are in line with Finnish Legislation for the reporting of working time to the local authorities.
The majority of you attended either the manager or employee sessions last week, thank you for your time, we hope you found the sessions beneficial.

Submitting Working Hours
How often should I submit my working hours?
Working hours should be submitted on a daily basis into the Time & Attendance (T&A) System. This is to ensure that your manager can check and approve what you have inputted and also so you don’t have to spend time at the end of the week submitting and working out the hours worked.
All working hours for that week MUST be submitted by the Sunday.
Why are we submitting the hours worked into the system?
Finnish legislation requires us to be able to report all working hours to the Finnish Authorities when requested by the Labour Inspector. The recording ‘time worked’ element of the system is being used for reporting purposes only and is not linked to the payroll system.
What if I work on a Sunday or Public Holiday- how should I record this in the system?
If you work on a Sunday or Public Holiday please speak to your line manager to arrange a day off in lieu. Please record the hours worked on that day in the system.
The day off in lieu will need to be agreed and recorded through the absence tab in the T&A system for your manager to approve.
How should I record split shifts?
If you work for a period of time in the morning and then are required back to work in the evening you can submit more than one recording for that day to show this split.
How should I record time worked if I am on sea-trials?
If you’re on sea-trials please only record the actual hours worked each day. If you are on a break or down time whilst on board this should not be recorded as working hours.
Can I view my working hours?
You can view your working hours for a specific period of time by going to the working hours tab and selecting the date period in the drop down box below the calendar.
What absence should I be recording?
Any absence from work needs to be recorded appropriately using the drop down box within the system. If you’re unsure of which type of absence to select please speak to your manager before submitting.
When should I submit my annual leave request to ensure this meets the payroll cut-off date?
Before submitting annual leave, please discuss your plans with your line manager, also noting the following payroll cut-off dates:
- November – 9am 16 November 2020.
- December – 9am- 16 December 2020.
We will share the cut-off dates for 2021 with you shortly so you can submit holiday requests in time to meet payroll deadlines going forward.
Saturdays are also annual leave days so please ensure these are booked off as annual leave if the period of time you book off falls on a Saturday.
What if I am absent from work due to illness?
If you’re unwell, please inform your line manager in the first instance. When you return to work you should then submit the absence in the system from the drop down options for your manager to approve.
What if I make a mistake when entering my hours worked or absence?
Please ensure that you correctly submit entries into the T&A system. Once these are approved by your line manager, adjustments can only be made via our payroll provider which comes at a cost.
