General
What documents do I need to bring with me when joining a ship?

Do I need to carry original copies of my documentation or will photocopies/copies on my phone be accepted?
All documentation must be original copies. Photocopies or copies on your phone are not accepted, and you will be denied boarding without them. For visas obtained online such as Australian MC Visa & NZ ETA copies need to be printed.
My posting has been changed; how do I know if I am compliant for my new tour of duty/assignment?

Medical Certificates
Do I need a medical certificate to work onboard?
Yes, a medical certificate is required to ensure you are fit for duty This certificate must be issued by a CUK-approved medical practitioner and be valid for tour of duty plus 30 days.
How do I obtain a medical certificate?

Do I need to carry my original Medical Certifcate with me when joining a ship.
Yes, you MUST bring your original medical certificate with you in the format it was issued, for example a hard copy not laminated. The only exception to this would be for Bermudan medical certificates, which are now isssued digitally.
What if I have been issued a short-dated medical?
If you receive a short-dated medical that is valid for under 2 years, your Global Talent Partner (GTP) or CUK Compliance Contact will be required to share it with the medical team for review and sign-off.

What medical certificate do I need to carry with me if I am an Indian Crew Member?
As an Indian crew member, you must ensure you carry with you all medical certificates including Annexure IV, V & Pre-joining Medical Report. If you need further clarification, please contact your Global Talent Partner (GTP) or CUK Compliance Contact
What is changing with Bermuda Medical Certificates?
Starting May 1, 2025, all Bermuda Medical Certificates issued by approved doctors will be provided exclusively in digital format
How will I receive and verify my digital Bermuda Medical Certificate?
You will receive an email with a PDF copy of your Bermuda Medical Certificate. This PDF will include a QR code and a hyperlink to the Bermuda Online Seafarer System (BOSS) for verification. You can verify your certificate by scanning the QR code or by visiting the BOSS website and entering the unique tracking number, your surname, and date of birth
Will I still receive a paper copy of my Bermuda Medical Certificate?
No, the digital certificate will be the original and valid version. You won’t need to print your medical certificate, but if you prefer, you can print the PDF if necessary.
Vaccinations
What types of vaccinations are required?
Several vaccinations may be required for your tour of duty/assignment. The main vaccinations you will need are MMR (Measles, Mumps, Rubella) and Yellow Fever. The MMR vaccination is compulsory for all crew members, while the Yellow Fever vaccination may be required depending on the ship’s itinerary. If any other vaccinations are needed, your CUK compliance contact or GTP will inform you. Proof of vaccination must be carried onboard, and no photocopies will be accepted.
Who arranges my vaccines?
You will need to arrange your own vaccinations.
How far in advance should I arrange my vaccination?
You should arrange your vaccinations as early as possible. You must provide evidence of your vaccinations to your Global Talent Partner (GTP) or CUK Compliance Contact at least one month before you board your ship.
Who pays for my vaccinations?
Most vaccinations are free of charge, however, should you need to pay for a vaccination then we will cover the costs. You will need to pay for your vaccination and claim the cost back through the expenses process once you’re on board.
Visas
What types of visas are required for my upcoming tour of duty/assignment?
The specific visas required depend on the ship’s itinerary and your role position. Common visas include the C1/D visa for the United States, MC Visas for Australia, and Schengen visas for European countries.
Your CUK Compliance Contact or GTP will advise you on what visas are required for ensure you are compliant for your upcoming tour of duty/assignment.
Where can I find accurate information about visa requirements?
For up-to-date visa information, please contact your Global Talent Partner (GTP) or CUK Compliance Contact . Additionally, you can check official government websites and the embassies/consulates of the countries you will visit.
Seafarers Identity Documents (ID Cards & Discharge Books)
How do I obtain a seafarer’s identification and record book (SIRB)?
You can apply for an SIRB through your country’s maritime authority. The process usually involves submitting proof of identity, medical certificates, and proof of employment. Your Global Talent Partner (GTP) or CUK Compliance Contact will assist you in this process.
How do I obtain a Bermudan Seamans Book?
Your Global Talent Partner (GTP) or CUK Compliance Contact will assist and guide you through the application process. You will be required to submit certain documents to help support your application.
Do I need to obtain a Bermudan ID card?
All seafarers must hold a Bermudan ID, however, not all nationals will need these documents to join a ship. For a detailed list of nationalities that require the document to join, please click here.

Lost Documentation
What should I do if I lose my documents whilst on board?
Report the loss immediately to the Crew Services Manager. They will guide you through the process of what to do next. If documents are lost, you may need to disembark at your next port of call to allow your time to obtain replacement documents if you don’t have sufficient validity to continue.
What should I do if I lose my documents whilst travelling to the ship?
Please remain calm and report lost documents immediately to the Fleet Travel Team and the local authorities.
You will find contact details for the Fleet Travel Team on your joining instructions. If you lose your passport, visit the nearest embassy/consulate for emergency travel documents to be issued.
Document Validity & Renewal
How often do I need to renew my documents and how can I ensure they remain valid?
Renewal periods vary by document and country of issue.
It is your responsibility to keep track of the expiration dates of your documents and set reminders for renewals. You will receive reminders from your Global Talent Partner (GTP) or CUK Compliance Contact to ensure you remain compliant for your tour of duty/assignment.
What validity is required on my documentation?
It’s crucial to ensure all your documents are valid for the duration of your tour of duty/assignment plus any additional timeframe stipulated by immigration authorities or Carnival UK. It is your responsibility to ensure you have all the relevant document for your tour of duty/assignment.
Your CUK Compliance Contact or GTP will advise you on this. If your documents expire while onboard, you will need to disembark at the next port of call.
General
Will I be reimbursed for obtaining compliance documentation?
Most documents will be reimbursed by the company once you are onboard. However, there are some documents that you are required to cover without reimbursement. Certain ranks will follow different reimbursement procedures, and you should refer to your Seafarers Employment Agreement (SEA) for clarification.

What is the process to be reimbursed for my compliance documentation?
Once onboard, you will need to complete the Fleet Expenses Form
Note:
- Expense claims received after the 10th day of the month will be reimbursed in the following month’s pay. If the 9th or 10th falls on a weekend, the deadline to submit an expense claim for processing in the following month is Friday.
- Any claims must be submitted along with suitable receipts
- If you have pre-approval for an exceptional expense please attach the approval email to the claim form.
What is the process for reimbursement of short-dated medical if I need to obtain a new medical before I join the ship for the first time?
If for any reason you do not receive a join date prior to your original medical expiring, you will need to submit two separate expense claim forms. Please note that if receipts are older than 6 months, your claim cannot be processed

Who do I contact if my documents will not be released on time by the respective authorities/embassies?
Please contact your Global Talent Partner (GTP) or CUK Compliance Contact to inform them. They will liaise with crew planning to amend your posting
